Staff Onboarding Guide
Quick start guide for daycare staff using BrightBadge kiosk.
Overview
This guide covers:
- Receiving your invitation
- Setting up your account
- Accessing the kiosk
- Checking children in and out
Time Required: 5 minutes
Step 1: Accept Your Invitation (1 minute)
Invitation Email
You'll receive an email from BrightBadge with subject: "You're Invited to Join [Site Name] on BrightBadge"
What to Do
- Open the email
- Click "Accept Invitation" button
- You'll be taken to the account setup page
Step 2: Complete Your Profile (2 minutes)
Account Setup
- Verify your email: Should be pre-filled
- Create password: Strong password (min 8 characters)
- Confirm password: Re-enter password
- Click "Complete Setup"
Your Staff Code
After setup, you'll see your 6-digit staff code:
Your Staff Code: 123456
Expires: Monday, [Date]
π Important:
- Write this code down or save it in your phone
- You'll need it every time you access the kiosk
- It changes every Monday (you'll get an email)
Step 3: Access the Kiosk (1 minute)
Where is the Kiosk?
The kiosk is a tablet or computer at the daycare entrance. Ask your manager if you're not sure!
Login to Kiosk

On the kiosk device, you should see: "[Site Name] - Enter Your Code"

Enter your 6-digit staff code

You'll see the staff dashboard
β You're logged in!
Step 4: Manage Attendance (1 minute)
Check In a Child
When a parent arrives:
- Ask the parent which child they're picking up/dropping off
- Find the child in the list
- Click "Check In" or "Check Out"
- Ask the parent to sign on the screen
- Review any health alerts (allergies, medications)
- Click "Confirm"
β Done! The parent and child can now proceed.
View Check-In Status
To see who's currently at the site:
- Look at the "Currently Checked In" section
- You'll see all children present
- Green badge = Checked in
- Red badge = Checked out
Understanding Health Alerts
What Are Health Alerts?
During check-in, you may see alerts like:
β οΈ ALLERGY ALERT: Peanut Allergy (Life-Threatening)
Reaction: Anaphylaxis
EpiPen required - see emergency plan
What to Do
- Read the alert carefully
- Acknowledge you've seen it (click "I Understand")
- Inform other staff if it's a severe allergy
- Proceed with check-in
π Important: All health information is confidential. Do not discuss with other parents.
Weekly Code Rotation
Every Monday Morning
- You'll receive an email with your new 6-digit code
- Subject: "Your New Staff Code for [Site Name]"
- Old code stops working immediately
What to Do
- Check your email Monday morning
- Note your new code
- Use the new code when you arrive at work
Tip: Save the email or screenshot the code!
Common Tasks
View Attendance History
- On the staff dashboard, click "Attendance"
- Select a date range
- View all check-ins/check-outs
Send a Message to Parents
- Click "Messages" tab
- Click "New Announcement"
- Type your message (e.g., "Pajama Day on Friday!")
- Click "Send to All Parents"
Parents receive the message instantly on their dashboard.
Troubleshooting
Problem: "Invalid Code"
Solutions:
- Double-check you entered the code correctly
- Verify you're using the current week's code (check email)
- Ask your manager to resend your code
Problem: "Code Expired"
Solution:
- Check your email for this week's new code
- If you don't have the email, ask your manager to resend it
Problem: Can't Find a Child
Solutions:
- Verify the child is enrolled at your site
- Check if the child is marked as "inactive"
- Ask the manager to verify the child's enrollment
