Staff Onboarding Guide

Quick start guide for daycare staff using BrightBadge kiosk.


Overview

This guide covers:

  1. Receiving your invitation
  2. Setting up your account
  3. Accessing the kiosk
  4. Checking children in and out

Time Required: 5 minutes


Step 1: Accept Your Invitation (1 minute)

Invitation Email

You'll receive an email from BrightBadge with subject: "You're Invited to Join [Site Name] on BrightBadge"

What to Do

  1. Open the email
  2. Click "Accept Invitation" button
  3. You'll be taken to the account setup page

Step 2: Complete Your Profile (2 minutes)

Account Setup

  1. Verify your email: Should be pre-filled
  2. Create password: Strong password (min 8 characters)
  3. Confirm password: Re-enter password
  4. Click "Complete Setup"

Your Staff Code

After setup, you'll see your 6-digit staff code:

Your Staff Code: 123456
Expires: Monday, [Date]

πŸ“Œ Important:

  • Write this code down or save it in your phone
  • You'll need it every time you access the kiosk
  • It changes every Monday (you'll get an email)

Step 3: Access the Kiosk (1 minute)

Where is the Kiosk?

The kiosk is a tablet or computer at the daycare entrance. Ask your manager if you're not sure!

Login to Kiosk

  1. On the kiosk device, you should see: "[Site Name] - Enter Your Code"

  2. Enter your 6-digit staff code

  3. You'll see the staff dashboard

βœ… You're logged in!


Step 4: Manage Attendance (1 minute)

Check In a Child

When a parent arrives:

  1. Ask the parent which child they're picking up/dropping off
  2. Find the child in the list
  3. Click "Check In" or "Check Out"
  4. Ask the parent to sign on the screen
  5. Review any health alerts (allergies, medications)
  6. Click "Confirm"

βœ… Done! The parent and child can now proceed.

View Check-In Status

To see who's currently at the site:

  1. Look at the "Currently Checked In" section
  2. You'll see all children present
  3. Green badge = Checked in
  4. Red badge = Checked out

Understanding Health Alerts

What Are Health Alerts?

During check-in, you may see alerts like:

⚠️ ALLERGY ALERT: Peanut Allergy (Life-Threatening)
Reaction: Anaphylaxis
EpiPen required - see emergency plan

What to Do

  1. Read the alert carefully
  2. Acknowledge you've seen it (click "I Understand")
  3. Inform other staff if it's a severe allergy
  4. Proceed with check-in

Weekly Code Rotation

Every Monday Morning

  • You'll receive an email with your new 6-digit code
  • Subject: "Your New Staff Code for [Site Name]"
  • Old code stops working immediately

What to Do

  1. Check your email Monday morning
  2. Note your new code
  3. Use the new code when you arrive at work

Tip: Save the email or screenshot the code!


Common Tasks

View Attendance History

  1. On the staff dashboard, click "Attendance"
  2. Select a date range
  3. View all check-ins/check-outs

Send a Message to Parents

  1. Click "Messages" tab
  2. Click "New Announcement"
  3. Type your message (e.g., "Pajama Day on Friday!")
  4. Click "Send to All Parents"

Parents receive the message instantly on their dashboard.


Troubleshooting

Problem: "Invalid Code"

Solutions:

  • Double-check you entered the code correctly
  • Verify you're using the current week's code (check email)
  • Ask your manager to resend your code

Problem: "Code Expired"

Solution:

  • Check your email for this week's new code
  • If you don't have the email, ask your manager to resend it

Problem: Can't Find a Child

Solutions:

  • Verify the child is enrolled at your site
  • Check if the child is marked as "inactive"
  • Ask the manager to verify the child's enrollment
