Parent Onboarding Guide

Welcome to BrightBadge! Quick guide to checking your child in and out.


Overview

This guide covers:

  1. Receiving your invitation
  2. Setting up your account
  3. Using your pickup code
  4. Checking your child in/out at the kiosk

Time Required: 5 minutes


Step 1: Accept Your Invitation (1 minute)

Invitation Email

You'll receive an email from [Your Daycare Name] via BrightBadge:

Subject: "Invitation to Access [Child's Name]'s Attendance"

What to Do

  1. Open the email
  2. Click the "Set Up Your Account" button
  3. You'll be taken to the account setup page

Step 2: Complete Your Account Setup (2 minutes)

Account Creation

  1. Email: Should be pre-filled with your email
  2. Full Name: Enter your full name
  3. Phone: Your mobile number (for notifications)
  4. Create Password: Strong password (min 8 characters)
  5. Click "Complete Setup"

Your Pickup Code

After setup, you'll see your 4-digit pickup code:

Your Pickup Code: 1234
Expires: Monday, [Date]

πŸ“± Save this code! You'll need it every time you pick up or drop off your child.

How to Save:

  • Screenshot it on your phone
  • Write it in your phone's notes app
  • Save the email

Step 3: Using the Kiosk (2 minutes)

Where is the Kiosk?

The kiosk is a tablet or computer at the daycare entrance, usually near the sign-in area.

Check-In Your Child

When you arrive at the daycare:

  1. Enter your 4-digit pickup code

  2. Select your child from the list

    • If you have multiple children, you'll see all of them
    • Click on the child you're dropping off
  3. Review health alerts (if any)

    • Allergies, medications, or dietary restrictions
    • Click "I Understand" to acknowledge
  4. Sign on the touchscreen

    • Use your finger or stylus
    • Draw your signature in the box
  5. Click "Confirm Check-In"

βœ… Done! Your child is checked in.

Check-Out Your Child

When you pick up your child:

  1. Enter your 4-digit pickup code
  2. Select your child
  3. Sign on the screen (pickup signature)
  4. Click "Confirm Check-Out"

βœ… Your child is checked out!


Your Parent Dashboard

Access Your Dashboard

  1. Go to https://bright-badge.com
  2. Click "Parent Login"
  3. Log in with your email and password (not pickup code)

What You Can Do

On your dashboard, you can:

  • πŸ“… View attendance history - See check-in/check-out records
  • 🚫 Report absences - Let the daycare know your child won't be there
  • πŸ“’ Read announcements - Get updates from the daycare
  • πŸš— Send "On My Way" alerts - Notify staff you're 10-15 minutes away
  • βš™οΈ Update your profile - Change contact info, notification preferences

Important Information

Weekly Code Rotation

Every Monday morning, you'll receive a new 4-digit pickup code via email.

Why? For security - rotating codes ensure only authorized parents can access the kiosk.

What to Do:

  1. Check your email Monday morning
  2. Save your new code
  3. The old code stops working immediately

Authorized Pickup

Only people marked as "Authorized for Pickup" can check your child in/out.

If you want to authorize someone else (grandparent, babysitter, etc.):

  • Contact the daycare manager
  • They can add the person and send them an invitation

Health Alerts

During check-in, you'll see any health alerts for your child:

⚠️ ALLERGY: Peanut Allergy (Severe)

This is a reminder to:

  • Ensure emergency medication is available
  • Inform staff if anything has changed

Reporting an Absence

If your child won't be at daycare:

Method 1: Parent Dashboard

  1. Log in to your dashboard
  2. Click "Report Absence"
  3. Select your child and date
  4. Add reason (optional)
  5. Click "Submit"

Method 2: Kiosk (Quick Absence)

  1. Enter your pickup code
  2. Select your child
  3. Click "Report Absence" button
  4. Select absence date
  5. Confirm

The daycare will be notified immediately.


Sending "On My Way" Alerts

Let the daycare know you're on your way:

From Your Dashboard

  1. Click "Send On My Way Alert"
  2. Select your child
  3. Estimated arrival time: 10-15 minutes
  4. Click "Send Alert"

The staff will be notified and can prepare your child.


Troubleshooting

Problem: "Invalid Pickup Code"

Solutions:

  • Double-check you entered the code correctly
  • Verify you're using this week's code (check your email)
  • If still not working, contact the daycare

Problem: Can't See My Child on the Kiosk

Reasons:

  • Your account might not be linked to the child yet
  • The child might be marked as "inactive"
  • You might not be marked as "Authorized for Pickup"

Solution: Contact the daycare manager to verify your authorization.

Problem: Didn't Receive New Code Email

Solutions:

  1. Check your spam/junk folder
  2. Search your email for "BrightBadge"
  3. Contact the daycare to resend the code

Privacy & Security

Your Data is Protected

  • πŸ”’ Encrypted: All data is encrypted in transit and at rest
  • πŸ” Access Control: You can only see your own children's information
  • πŸ“± Secure Codes: Pickup codes rotate weekly for security

Who Can See Your Child's Information?

  • You (and other authorized parents)
  • Daycare staff at your child's site
  • Daycare owner/manager

Who CANNOT See Your Child's Information?

  • Other parents
  • Staff at other daycare sites
  • Anyone without proper authorization
